MJN Karate Club is committed to safeguarding and promoting the welfare of children and vulnerable participants. The welfare of the child or vulnerable person is always paramount.

We aim to provide a safe, respectful, and supportive environment for all members.

2. Scope

This policy applies to:

  • Children under the age of 18 
  • Vulnerable adults 
  • Instructors 
  • Volunteers 
  • Staff 
  • Parents and guardians 
  • Members attending Club activities 

3. Our Safeguarding Principles

MJN Karate Club will:

  • Treat all children and vulnerable participants with respect 
  • Put welfare and safety first 
  • Take all concerns seriously 
  • Respond appropriately to safeguarding concerns 
  • Promote safe working practices 
  • Ensure concerns are reported appropriately 
  • Seek to create an environment free from abuse, neglect, bullying, intimidation, and discrimination 

4. Responsibilities

All instructors, staff, and volunteers must:

  • Act appropriately around children and vulnerable participants 
  • Avoid behaviour that could be misunderstood 
  • Report safeguarding concerns promptly 
  • Follow the Club’s safeguarding procedures 
  • Promote a safe training environment 

Parents and guardians remain responsible for children outside designated class times, including before and after class.

5. Responding to Concerns

Any concern about the welfare of a child or vulnerable person must be taken seriously.

Where a concern arises, the Club may:

  • Record the concern 
  • Speak to the appropriate safeguarding lead 
  • Contact the parent or guardian where appropriate 
  • Refer the matter to statutory agencies or emergency services if necessary 

6. Immediate Risk

If a child or vulnerable person is in immediate danger, emergency services should be contacted immediately.

7. Confidentiality

Safeguarding concerns will be handled sensitively. Information will only be shared on a need-to-know basis where appropriate.

8. Conduct

Instructors, staff, and volunteers must maintain professional boundaries at all times.

All members, parents, guardians, instructors, staff, and visitors are expected to behave respectfully and responsibly at all times.

Members must:

  • Show respect to instructors, staff, and other students 
  • Follow all instructions given during training 
  • Behave safely and responsibly 
  • Treat the training environment with care 
  • Wear suitable training clothing and equipment 
  • Avoid disruptive, aggressive, or abusive behaviour 
  • Use karate only in training or lawful self-defence 
  • Maintain good personal hygiene and suitable presentation for training 

Parents and Guardians must:

  • Behave respectfully toward instructors, staff, and other families 
  • Ensure children are collected promptly 
  • Raise concerns appropriately and respectfully 
  • Support Club rules and policies 
  • Not interfere with instruction during classes 

Instructors and Staff must:

  • Act professionally and respectfully 
  • Promote safety, discipline, and inclusion 
  • Treat all members fairly 
  • Set an appropriate example 
  • Take concerns seriously 

Unacceptable Behaviour includes:

  • Bullying 
  • Harassment 
  • Threatening or abusive behaviour 
  • Persistent disruption 
  • Unsafe conduct 
  • Damage to Club property 
  • Discriminatory behaviour 
  • Misuse of martial arts techniques 

Breaches of this Code may result in warnings, suspension, or termination of membership.

4. Anti-Bullying Policy MJN Karate Club Anti-Bullying Policy

MJN Karate Club is committed to providing an environment where all members feel safe, respected, and supported.

1. Bullying is not tolerated

Bullying of any kind is unacceptable. This includes bullying by:

  • Children 
  • Adults 
  • Parents 
  • Guardians 
  • Instructors 
  • Staff 
  • Visitors 

2. Bullying may include:

  • Verbal abuse 
  • Physical intimidation 
  • Deliberate exclusion 
  • Humiliation 
  • Threatening behaviour 
  • Online or digital bullying 
  • Repeated teasing 
  • Misuse of authority or status 

3. What we will do

If bullying is reported or suspected, the Club may:

  • Listen to those involved 
  • Investigate the concern reasonably 
  • Speak with parents or guardians where relevant 
  • Take appropriate action to protect those affected 
  • Apply disciplinary action where necessary 

4. Reporting

Members, parents, and instructors should report bullying concerns as soon as possible.

5. Outcomes

Depending on severity, outcomes may include:

5. Complaints Policy MJN Karate Club Complaints Policy

MJN Karate Club aims to deal with complaints fairly, consistently, and promptly.

Where possible, concerns should first be raised with the relevant instructor.

2. Formal Complaint

If the matter is not resolved informally, a complaint may be submitted in writing by email to:

MJN Karate Club is committed to providing a safe training environment for all members.

We will take reasonable steps to:

  • Maintain safe training conditions 
  • Provide suitable instruction 
  • Promote safe practice 
  • Manage foreseeable risks 
  • Respond appropriately to incidents 

2. Member Responsibilities

Members must:

  • Follow instructor safety instructions 
  • Train responsibly 
  • Report injuries immediately 
  • Not attend if they have an infectious illness 
  • Inform instructors of relevant medical issues or injuries 
  • Wear suitable clothing and safety equipment where required 

3. Parents and Guardians

Parents and guardians remain responsible for children outside designated class times.

4. Equipment and Premises

Training equipment and facilities should be used responsibly and only as instructed.

5. Accidents and Incidents

Accidents, injuries, and near misses should be reported to an instructor as soon as possible.

7. Photography and Media Policy MJN Karate Club Photography and Media Policy

MJN Karate Club recognises the importance of privacy, safety, and respectful use of images.

1. Personal Photography

Photographs and videos may be taken for personal use only where:

  • No photographs are taken of children other than your own 
  • Permission is obtained from anyone appearing in the image 
  • No filming or photography takes place in toilets or changing areas 

2. Club Photography and Promotion

The Club may from time to time take photographs or videos during classes, gradings, or events for:

  • Club promotion 
  • Social media 
  • Website use 
  • Marketing materials 

3. Opt-Out

Members or parents/guardians may request that images of themselves or their child are not used by contacting:

4. Complaints

If someone raises a concern about being filmed or photographed, the Club may request deletion of the images where appropriate.

8. Membership Cancellation and Notice Policy MJN Karate Club Membership Cancellation and Notice Poli

Membership operates on a rolling monthly basis.

1. Notice Required

To cancel membership, one months written notice must be provided by email to:

2. Start of Notice

The notice period begins from the date the Club receives the email.

3. Fees During Notice

Membership fees remain payable during the notice period whether or not classes are attended.

4. Direct Debit

Cancelling a Direct Debit does not cancel membership and does not replace the notice requirement.


9. Payments, Arrears and Direct Debit Policy MJN Karate Club Payments, Arrears and Direct Debit Poli

1. Payment Method

Membership fees are paid by Direct Debit or other approved payment method.

2. Failed Payments

If a payment fails, the Club may:

  • Notify the member 
  • Attempt collection again 
  • Restrict class access until payment is made 

3. Arrears Charges

Where permitted under the T&Cs, administration charges may be added to overdue amounts.

4. Direct Debit Cancellation

Cancelling a Direct Debit mandate does not cancel membership.

5. Outstanding Balances

Outstanding balances must be settled before continued training or rejoining.

10. Refunds Policy MJN Karate Club Refunds Policy

Refunds are only considered in exceptional circumstances and are assessed case by case.

Payments that are normally non-refundable include:

  • Joining fees 
  • Event bookings 
  • Course bookings 
  • Grading fees 
  • Licence or insurance fees once processed 

Where a refund is approved, the Club may make a reasonable administrative deduction in line with the Terms & Conditions.

Nothing in this policy affects statutory rights.

11. Membership Suspension and Termination Policy MJN Karate Club Membership Suspension and Terminati

MJN Karate Club reserves the right to suspend or terminate membership where reasonably necessary.

Reasons may include:

  • Non-payment 
  • Safety concerns 
  • Safeguarding concerns 
  • Persistent rule breaches 
  • Aggressive, threatening, or abusive behaviour 
  • Misconduct 
  • Misuse of martial arts techniques 

Suspension

During a period of suspension, the member may not attend classes or Club activities.

Termination

Where membership is terminated, the Club may refuse future membership.


12. Class Changes, Closures and Service Interruption Policy MJN Karate Club Class Changes, Closures

The Club may make reasonable changes to classes, schedules, locations, and services where necessary.

Reasons may include:

  • Instructor availability 
  • Venue availability 
  • Holidays or bank holidays 
  • Maintenance 
  • Safety reasons 
  • Events beyond the Club’s reasonable control 

Where possible, notice will be given.

The Club is not obliged to provide refunds, credits, or fee reductions except where required by law.


13. Introductory Offers and Joining Benefits Policy MJN Karate Club Introductory Offers and Joining

From time to time the Club may offer joining packages, complimentary sessions, discounted joining fees, or free uniforms.

1. New Members Only

Introductory offers apply only to new members unless the Club states otherwise.

2. Non-Transferable

Offers are not transferable, redeemable for cash, or exchangeable unless expressly stated.

3. Expiry

Any free sessions or introductory benefits must be used within the period stated by the Club.

4. Club Discretion

The Club may amend, withdraw, or refuse promotional offers where necessary.
