MJN Karate Club A trading name of MJN Karate Ltd

MJN Karate Club is a trading name of MJN Karate Ltd, a company registered in England and Wales. All references to ‘MJN Karate Club’, ‘we’, ‘us’, or ‘the Club’ within these Terms & Conditions refer to MJN Karate Ltd.

Membership Terms & Conditions

Introduction

To help you get the best out of MJN Karate Club and to understand our responsibilities to you and your responsibilities to us, please read these terms and conditions carefully.

The language used in these terms and conditions is intended to be as clear as possible. If you have any questions, please speak with your instructor or contact the club by email at:

To make these terms easier to understand they are divided into two sections:

Part A – Membership Terms and Conditions
Part B – Rules and Regulations for Attending Classes

These terms apply to all members of MJN Karate Club and replace any previous versions.

  

Part A – Membership Terms and Conditions

Definitions

You – the person responsible for the membership
Your membership – your training membership with MJN Karate Club
We / Us – MJN Karate Club
The Club – MJN Karate Club and the classes you attend

  

A1 Responsibilities of Members

Every person who completes a membership application will be individually responsible under this agreement.

This means that:

  • If      that person instructs us to make changes to the membership (including      cancellation), we will treat this as authorised instruction. 
  • That      person is responsible for paying all applicable membership fees. 

All members must comply with the rules and regulations outlined in Part B.

  

A2 Notice

Membership operates on a rolling monthly basis.

If you wish to cancel your membership you must provide one months written notice by email.

Notice must be sent to:

enquiries@mjnkarate.com

Your notice period will begin from the date the club receives your email.

Membership fees remain payable during the notice period regardless of attendance.

Cancelling your Direct Debit does not constitute notice.

  

A3 Membership Categories

Membership allows participation in the classes available within your category.

Class schedules and availability may change from time to time.

The club reserves the right to limit the number of students attending a class for safety and quality of instruction.

  

A4 Membership Duration

Membership begins on the day your application is accepted.

Membership continues on a rolling monthly basis until cancelled according to the notice policy.

Your minimum commitment is one full month of membership.

You may cancel within 7 days of joining, provided you have not attended a class.

If a class has already been attended, refunds will not be issued.

  

A5 Membership Fees

Membership fees are paid by monthly Direct Debit via GoCardless, our authorised payment collection provider.

The current monthly membership fees are:

Single Membership – £36.00 per month
(One student)

Double Membership – £68.00 per month
(Two students from the same family household)

Family Membership – £92.00 per month
(Three students from the same family household)

Payments are collected on either the:

  • 1st      of each month 

or

  • 15th      of each month 

depending on the schedule selected when joining.

MJN Karate Club operates approximately 42 weeks of training per year.

Training continues during 1-week half-term holidays, however there are no classes during the following holiday periods:

  • Two      weeks during the Christmas holidays 
  • Two      weeks during the Easter holidays 
  • Six      weeks during the Summer holidays 

Membership fees are calculated based on the total annual training cost, which is then spread across 12 equal monthly payments.

This means that although classes operate for approximately 42 weeks of the year, membership payments are made monthly across the full 12 months on a pro-rata basis.

Membership fees must be kept up to date in order to attend classes.

Failure to maintain payment may result in suspension from training.

  

A5b Joining Fees and Initial Benefits

MJN Karate Club offers two joining fee options upon registration:

Standard Joining Package – £45.00

This package includes:

  • Up      to 12 training sessions within the first 4 weeks of membership at no      additional cost 
  • One      complimentary karate uniform (gi) with embroidered calligraphy 

The 12 sessions must be used within the first 4 weeks from the membership start date. Any unused sessions will not roll over or be refunded.

Basic Joining Fee – £25.00

Members who choose this option:

  • Will      not receive the 12 complimentary sessions 
  • Will      not receive a complimentary karate uniform 

All regular membership fees will apply from the start of membership regardless of the joining option selected.

Joining fees are non-refundable.

Where a member cancels their membership and later returns, MJN Karate Club reserves the right to require payment of a new joining fee. This applies regardless of any previous joining fee paid and reflects the administrative and onboarding costs associated with reactivation.

  

A5c Annual Membership Fee

An annual membership fee of £25.00 is payable by all members.

This fee is due each year in September and must be paid within the first 14 days of the month.

This annual fee applies to all members who joined the club before 1st June of that calendar year.

Members who join on or after 1st June will not be required to pay the annual membership fee until the following September.

The annual membership fee covers administrative, licensing, and club operational costs and must be kept up to date in order to continue training.

Failure to pay this fee may result in suspension of membership until payment is received.

  

A5d Joining Fee Selection and Misuse of Benefits

The joining fee option selected at the time of registration is final and cannot be changed once membership has commenced.

Where a member selects the £45.00 Standard Joining Package and receives any associated benefits (including but not limited to attending any of the included sessions or receiving the complimentary karate uniform), the full £45.00 joining fee remains payable and cannot be reduced, refunded, or transferred to the Basic Joining Fee.

Members are not permitted to:

  • Downgrade      from the £45.00 Standard Joining Package to the £25.00 Basic Joining Fee      after receiving any benefits 
  • Request      partial refunds or credits in place of any unused sessions or the karate      uniform 
  • Exchange      the complimentary uniform for cash, credit, or alternative items 

MJN Karate Club reserves the right to charge the full £45.00 joining fee where any misuse, attempted misuse, or circumvention of this policy is identified.

  

A5e Parent / Guardian Responsibility

Where the membership is for a person under the age of 18, the parent or legal guardian registering the member accepts full responsibility for all membership decisions, payments, and obligations under these Terms & Conditions.

This includes (but is not limited to):

  • Selection      of the joining fee option 
  • Acceptance      of any benefits received as part of the joining package 
  • Payment      of all applicable fees, including joining fees, monthly membership fees,      and annual membership fees 

Where a parent or guardian selects the £45.00 Standard Joining Package, this will be deemed as full acceptance of the associated benefits, whether or not all benefits are used by the child.

The club will not accept requests from parents or guardians to:

  • Downgrade      the joining fee after registration 
  • Refuse      or return benefits once issued 
  • Claim      refunds or credits based on non-attendance or partial use of benefits 

All decisions made at the point of registration are binding on the member and their parent or guardian.

  

A5f Rejoining Within the Same Membership Year

Members who cancel their membership and later wish to return may be eligible to rejoin without paying the £25.00 annual membership fee, subject to the following conditions:

  • The      member must rejoin before 1st September of the same calendar year 
  • The      member must have previously paid the annual membership fee for that year      (if applicable) 
  • The      membership must not have been terminated due to non-payment or misconduct 

This exemption applies only to the annual membership fee and does not apply to joining fees or other charges.

MJN Karate Club reserves the right to determine eligibility and refuse this exemption where necessary.

  

A5g Rejoining After Cancellation

Where a member cancels their membership and later wishes to rejoin, the following conditions apply:

  • Any      outstanding membership fees, including fees due during any unpaid notice      period, must be settled in full prior to rejoining 
  • MJN      Karate Club reserves the right to apply a rejoining fee or require a new      joining fee upon reactivation of membership 
  • Where      a member has cancelled their Direct Debit without providing the required      notice, the club reserves the right to recover any unpaid fees and apply      additional charges where reasonable 

Rejoining is subject to approval at the club’s discretion.

  

A5g Introductory Period Adjustments

Any extensions to introductory offers, including trial periods or complimentary sessions, are granted solely at the discretion of MJN Karate Club and are not guaranteed.

Requests for extensions due to illness, absence, or other circumstances will be considered on a case-by-case basis and may require supporting evidence.

  

A6 Changing Membership Type

If you wish to change your membership category you must contact the club by email at:

enquiries@mjnkarate.com

Any changes to fees will take effect from the next billing cycle.

  

A7 Additional Charges

Additional charges may apply for activities such as:

  • Gradings      
  • Seminars      
  • Courses      
  • Special      training events 

These will be communicated in advance.

  

A8 Refunds

Refunds will only be considered in exceptional circumstances and will be assessed on a case-by-case basis, acting reasonably and in good faith.

Where a refund is approved, MJN Karate Club reserves the right to deduct an administrative processing fee of 25% of the refund value or £15.00, whichever is greater. This deduction reflects a reasonable estimate of the administrative, payment processing, and operational costs incurred.

Refunds are not guaranteed and will normally be processed using the original payment method where possible.

Certain payments are non-refundable, including but not limited to:

  • Joining      fees 
  • Event      or course bookings 
  • Grading      fees 
  • Licence      or insurance fees once processed 

Nothing in this clause affects your statutory rights under UK consumer law.

  

A9 Membership Freezing

MJN Karate Club operates a continuous monthly membership system.

For this reason, membership freezes are not available.

Members who wish to stop training must cancel their membership according to the notice period in A2.

In exceptional circumstances, the club may, at its sole discretion, agree to a temporary membership suspension upon receipt of appropriate evidence (e.g. medical documentation).

  

A10 Ending Membership

Membership may be ended by giving one months written notice by email.

Notice must be sent to:

enquiries@mjnkarate.com

Membership fees remain payable during the notice period.

Once membership ends you may not attend classes unless you re-join.

  

A11 Cancellation by the Club

The club will not tolerate abusive, threatening, or aggressive behaviour towards instructors, staff or other members.

The club reserves the right to suspend or terminate membership immediately if:

  • Behaviour      threatens the safety of others 
  • Members      repeatedly break club rules 
  • Membership      payments are not maintained 

In such circumstances the club may refuse future membership.

The club reserves the right to refuse entry to any member whose account is in arrears or who is in breach of these Terms & Conditions.

  

A12 Non-Payment of Fees

If a payment fails we will notify you.

We may attempt to collect the payment again.

Members with outstanding payments may not be allowed to attend classes.

The club reserves the right to deny access to all classes immediately upon cancellation of a Direct Debit mandate where no alternative payment arrangement has been agreed.

Cancelling your Direct Debit does not cancel your membership.

Notice must still be given according to the cancellation policy.

The member remains fully liable for all payments due under this agreement, regardless of payment method, including where a Direct Debit mandate is cancelled.

  

A12a Late Payments and Administration Charges

MJN Karate Club requires all membership payments to be made on time in accordance with the agreed payment schedule.

Where a payment is not received on the due date, including but not limited to failed Direct Debit payments or bank transfer delays, the following charges may apply:

  • An      initial £5.00 administration fee added to the outstanding balance 
  • A      further £5.00 charge where payment remains outstanding after 14 days 

These charges represent a reasonable estimate of the administrative and recovery costs incurred in managing overdue accounts.

MJN Karate Club reserves the right to:

  • Suspend      access to classes until all outstanding balances are cleared 
  • Refuse      entry where fees remain unpaid 
  • Recover      any outstanding amounts, including applicable administration charges 

All outstanding fees must be settled before continued participation in classes.

Nothing in this clause affects your statutory rights.

  

A12b Chargebacks and Payment Disputes

Members must contact MJN Karate Club directly to resolve any payment queries or disputes before initiating a chargeback, indemnity claim, or payment reversal through their bank or payment provider.

Where a chargeback or payment reversal is initiated without prior contact, MJN Karate Club reserves the right to:

  • Recover      the full outstanding amount of the original payment 
  • Apply      a £15.00 administration fee to cover processing, investigation, and      recovery costs 
  • Recover      any additional fees incurred from the payment provider 

These charges represent a reasonable estimate of the administrative and recovery costs incurred.

Any reversed payment will be treated as an outstanding balance on the member’s account.

Members with outstanding balances:

  • Will      not be permitted to attend classes 
  • Must      settle all outstanding amounts before training can resume 

MJN Karate Club reserves the right to pursue recovery of unpaid fees where necessary.

Nothing in this clause affects your statutory rights.

  

A12c Recovery of Unpaid Membership Periods

Where a member cancels their Direct Debit mandate without providing the required notice and later seeks to rejoin, MJN Karate Club reserves the right to:

  • Recover      any unpaid membership fees covering the applicable notice period 
  • Apply      a reasonable charge to reflect missed membership periods where access to      services was reserved but not paid for 

Any such charges will be proportionate and reflect a reasonable estimate of loss incurred by the club.

  

A13 Changes to Fees or Terms

If membership fees increase we will give at least one month's notice.

The club reserves the right to make reasonable changes to these terms and conditions where necessary.

Members will be notified of any changes.

Continued use of membership after the effective date of any change shall constitute acceptance of the updated fees and/or Terms & Conditions.

  

A13a Pricing Comparisons and Savings

Any pricing comparisons, savings statements, or promotional claims made by MJN Karate Club are illustrative only and may be based on comparisons with standard pay-as-you-go rates or typical attendance patterns.

Such statements do not form part of the contractual agreement and are provided for general guidance only.

  

A14 Changes to Classes

The club may adjust class schedules or locations when required.

This may occur due to:

  • Instructor      availability 
  • Venue      availability 
  • Holidays      or bank holidays 
  • Maintenance      or safety reasons 

Where possible we will provide notice of any changes.

  

A14a Temporary Closures and Service Interruptions

In the event of temporary class cancellations, venue closures, or service interruptions, MJN Karate Club will take reasonable steps to minimise disruption.

The club is not obliged to provide refunds, credits, or fee reductions except where required by law.

Any goodwill gestures, credits, or alternative arrangements are provided at the sole discretion of the club.

  

A15 Complaints

If you have a complaint you should first speak to your instructor.

If the matter is not resolved you may submit a written complaint by email to:

We aim to resolve complaints fairly and quickly.

  

A16 Liability

Karate training is a contact martial art and carries an inherent risk of injury.

By participating in classes you acknowledge and accept these risks.

MJN Karate Club does not accept liability for injury sustained during training except where caused by proven negligence.

The club is not responsible for loss or damage to personal belongings brought to classes.

Nothing in these terms limits your legal consumer rights.

  

A17 Data Protection

MJN Karate Club processes personal data in accordance with applicable data protection laws, including the UK GDPR and the Data Protection Act 2018.

Personal information will be collected and used for legitimate purposes relating to the administration and delivery of membership services.

Members have the right to request access to, correction of, or deletion of their personal data, subject to legal obligations.

Further details on how your data is collected, used, and stored, including your rights, are set out in our Privacy Policy, available on our website.

A18 Children

Children are welcome to train at the club but must behave respectfully and follow instructor guidance at all times.

Parents or legal guardians remain responsible for their children outside of designated class times, including before and after sessions.

Children must follow the club’s Code of Conduct and Anti-Bullying Policy. Persistent disruptive or unsafe behaviour may result in suspension or termination of membership.

MJN Karate Club operates in accordance with its Safeguarding Policy and takes the welfare of all children and vulnerable participants seriously.

  

A19 Introductory Offers

From time to time MJN Karate Club may offer introductory promotions such as free lessons, discounted joining fees or complimentary uniforms.

These offers:

  • Apply      only to new members 
  • May      be withdrawn at any time 
  • Are      not transferable or redeemable for cash 

The club reserves the right to amend or withdraw promotional offers without notice.

  

A20 Acceptance of Terms by Payment

By completing registration and/or making any payment to MJN Karate Club, you confirm that you have been given the opportunity to read and understand these Terms & Conditions prior to entering into the agreement.

By proceeding with registration and/or payment, you acknowledge and agree that you accept these Terms & Conditions in full.

This includes (but is not limited to) payments for:

  • Joining      fees 
  • Membership      fees 
  • Annual      membership fees 
  • Events,      gradings, or courses 

Where membership is purchased on behalf of a child, the parent or legal guardian confirms that they accept these Terms & Conditions on behalf of the child.

The club reserves the right to rely on registration and payment records as evidence of acceptance of these Terms & Conditions.

Nothing in this clause affects your statutory rights.

  

A21 Communications and Use of AI Assistant

MJN Karate Club utilises an AI-powered assistant named Rachel to support communication with members and prospective members.

Rachel may communicate via:

  • Email      
  • Text      message (SMS/WhatsApp) 
  • Website      live chat or web forms 

Rachel is designed to assist with general enquiries, provide information, and support the day-to-day running of the club. As part of this process, Rachel is continuously learning how the business operates and how best to respond to member enquiries.

While every effort is made to ensure accuracy, responses provided by Rachel may contain errors, omissions, or inaccuracies and may not always be correct, complete, or appropriate on the first occasion.

Any information, guidance, or responses provided by the AI assistant are for general informational purposes only and do not constitute binding agreements, confirmations, or contractual obligations.

MJN Karate Club reserves the right to:

  • Clarify,      correct, or amend any information provided by the AI assistant 
  • Override      or withdraw any communication issued by the AI assistant where necessary 

Only written confirmation issued directly by an authorised representative of MJN Karate Club shall be considered binding.

If at any point you wish to speak to a human member of the team, you may request this by stating:

“Chat with Sensei Scott”

Upon receiving this request, the conversation will be directed to a human representative as soon as reasonably possible.

Members should not rely solely on information provided by the AI assistant when making decisions relating to payments, bookings, or membership status.

By communicating with MJN Karate Club, you acknowledge and accept that:

  • Some      responses may be generated by an AI assistant 
  • Responses      may require clarification or confirmation 
  • Final      decisions, confirmations, and approvals remain solely at the discretion of      MJN Karate Club 
  • Any      delay or failure to exercise a right shall not be deemed a waiver of that      right. 

  

A22 No Waiver

No failure or delay by MJN Karate Club in exercising any right, power, or remedy under these Terms & Conditions shall operate as a waiver of that right, nor shall any single or partial exercise of any such right, power, or remedy preclude any further exercise of that or any other right, power, or remedy.

Any waiver of any provision of these Terms & Conditions shall only be effective if made in writing and expressly stated to be a waiver. A waiver of any breach shall not constitute a waiver of any subsequent breach.

  

A23 Severability

If any provision, or part of any provision, of these Terms & Conditions is found by any court or competent authority to be invalid, unlawful, or unenforceable, that provision (or part thereof) shall, to the extent required, be deemed severed and shall not affect the validity and enforceability of the remaining provisions.

The remaining provisions of these Terms & Conditions shall continue in full force and effect as if these Terms had been agreed without the invalid, unlawful, or unenforceable provision.

  

A24 Force Majeure

MJN Karate Club shall not be liable for any failure, delay, or interruption in the performance of its obligations under these Terms & Conditions where such failure arises from events, circumstances, or causes beyond its reasonable control.

Such events may include, but are not limited to:

  • Acts      of God 
  • Flood,      fire, or natural disasters 
  • Epidemics      or pandemics 
  • Government      laws, restrictions, or regulations 
  • Closure      or unavailability of training venues 
  • Utility      failures or interruptions 
  • Industrial      disputes or labour shortages 
  • Any      other unforeseen or unavoidable events 

In such circumstances, the club reserves the right to suspend, modify, or cancel services where reasonably necessary. No refunds, credits, or compensation shall be payable except where required by law.

  

A25 Entire Agreement

These Terms & Conditions constitute the entire agreement between MJN Karate Club and the member and supersede and extinguish all prior agreements, representations, negotiations, discussions, or understandings, whether written or oral, relating to the subject matter of the membership.

The member acknowledges that they have not relied on any statement, representation, assurance, or warranty that is not expressly set out in these Terms & Conditions.

Nothing in this clause shall limit or exclude liability for fraud or fraudulent misrepresentation.

  

A26 Governing Law and Jurisdiction

These Terms & Conditions, and any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with them, their subject matter, or formation, shall be governed by and interpreted in accordance with the laws of England and Wales.

Each party irrevocably agrees that the courts of England and Wales shall have exclusive jurisdiction to settle any such dispute or claim.

  

A27 Membership Suspension

MJN Karate Club reserves the right to temporarily suspend membership access where reasonably necessary.

This may include (but is not limited to):

  • Operational      requirements 
  • Disciplinary      matters 
  • Safeguarding      concerns 
  • Outstanding      payments or account issues 

During any period of suspension, members may not attend classes or participate in club activities.

Any suspension will be proportionate, reasonable, and reviewed regularly.

Unless otherwise agreed in writing, suspension does not remove the member’s obligation to pay any fees due under the membership agreement.

Nothing in this clause affects your statutory rights.

  

A28 Class Attendance and Capacity

Membership provides access to classes within the selected membership category but does not guarantee access to any specific class session.

The club reserves the right to limit class numbers where necessary to maintain safety, quality of instruction, and appropriate student-to-instructor ratios.

Where classes reach capacity, priority may be determined based on reasonable factors including attendance patterns, membership type, or booking systems where applicable.

MJN Karate Club will take reasonable steps to ensure sufficient availability of classes for members.

  

Part B – Rules for Attending Classes

  

B1 Health and Safety

Members must follow all health and safety instructions given by instructors.

Members must behave respectfully and responsibly at all times.

Members should not attend classes if they have an infectious illness.

Any injuries sustained during training must be reported to the instructor immediately.

  

B2 Supervision of Children

Children must be registered with the club before attending classes.

Parents must collect children promptly at the end of class.

The club is not responsible for supervising children outside of training sessions.

  

B3 Personal Belongings

Members bring personal belongings to classes at their own risk.

The club does not accept responsibility for lost or damaged property.

Lost property may be held for a limited time before being donated or disposed of.

  

B4 Health and Fitness

Members must inform instructors of any medical conditions or injuries that may affect their training.

Members should seek medical advice before training if unsure about their physical condition.

Members are responsible for monitoring their own wellbeing during training.

If unusual symptoms occur during class you must stop immediately and inform the instructor.

  

B5 Photographs and Videos

Photographs and videos may be taken for personal use provided that:

  • No      photographs are taken of children other than your own 
  • Permission      is obtained from anyone appearing in the image 
  • No      filming occurs in changing areas or toilets 

If a member complains about being filmed the club may request images be deleted.

  

B6 Karate Uniform

Students are expected to wear an appropriate karate uniform (gi) during training.

Uniforms should be kept clean and in good condition.

Belts must be worn according to the student’s current grade.

Jewellery should be removed before training for safety.

  

B7 Gradings and Progression

Progression through belt grades is based on:

  • Technical      ability 
  • Attendance      
  • Instructor      assessment 
  • Behaviour      and attitude 

The club reserves the right to determine when a student is ready to grade.

Gradings are typically held 3–4 times per year.

Grading fees will apply. The price and location of the grading will depend on the grade being attempted.

Students may also be required to hold a valid martial arts licence or insurance membership where applicable.

  

B8 Club Etiquette

Karate training follows traditional martial arts etiquette.

Students should demonstrate:

  • Respect      
  • Discipline      
  • Courtesy      
  • Focus      during training 

Members are expected to follow instructor guidance at all times.

Students should leave their shoes and ego at the door.

  

B9 Martial Arts Licence

Students may be required to hold a valid martial arts licence issued by the relevant governing body or association.

This licence provides insurance cover during training and events.

Licence fees may apply and must be kept up to date in order to participate in training, gradings, seminars or competitions.

  

B10 Sparring Equipment

For safety reasons certain protective equipment may be required during sparring sessions including but not limited to:

  • Groin      guards 
  • Sparring      mitts 
  • Shin      and instep guards 

Students must wear the required equipment when instructed.

Failure to do so may result in the student being unable to participate in sparring activities.

  

B11 Instructor Authority

All students must follow the instructions of the instructor at all times.

Failure to follow safety instructions or repeated disruption may result in the student being asked to leave the class or suspended from training.

  

B12 Misuse of Martial Arts

Karate techniques must only be used in training or legitimate self-defence.

Any student found using martial arts techniques irresponsibly, aggressively or for personal gain may have their membership immediately terminated.

  

B13 Training Commitment

Students are encouraged to attend classes regularly to progress through the grading syllabus.

Regular attendance may be considered when determining grading eligibility.

  

B14 Photography & Media

From time to time photographs or videos may be taken during training, gradings or events for club promotion, social media or website use.

Members may request that images of themselves or their child are not used by contacting:
